In this tutorial I am going to guide you on “How to insert YouTube videos in PowerPoint slides”. Before starting it off I would like to ask you all a question that in which environment would you be using the presentation. Would you be presenting to a live audience in a Wi-Fi enabled conference room, or in a meeting room having a LAN Connection, or in an Offline Environment where internet would not be accessible.
The basic reason behind asking this question is that based on the environment you would need to decide the method that you would be using to insert a YouTube in your presentation. I really don’t want my readers to be caught in an embarrassing situation where they have embedded the video however they are struggling to view the video in conference because of poor internet connectivity or coding issues.
So, let’s start discussing this process into detail now.
Insert YouTube Videos Directly into PowerPoint Presentations
This is a straightforward approach and is recommended if you are really very sure that the presentation venue will have great internet connectivity. Please follow below steps to embed video directly into presentation:
- Download YouTube Wizard plug-in from here.
- Install the plug-in
- After installation a new command “Insert YouTube Video” will be added to your PowerPoint Toolbar.
- Now type the URL of the YouTube video and follow the wizard to add the YouTube video player in your current slide.
- You would be able to resize and reposition the player anywhere on the slide.
Note that you should put the YouTube video in the same folder as your PowerPoint presentation on your computer. Later if you send the PowerPoint presentation to other person, then send the YouTube video too. The advantage of keeping YouTube video in the same folder as the presentation is that the link will still work on other computers.
Insert Downloaded YouTube Videos in PowerPoint 2007:
This approach is recommended if you would be having a poor or no internet connection at the presentation venue. Please note that this approach should be followed for MS Office 2007 only. Follow below steps to embed video into presentation:
- Download YouTube videos to your computer, using this link.
- Check that the file format of video should be asf, avi, mpeg, or wmv. If video is not in the given format then convert the file format using tools like FormatFactory or use this link to convert it online.
- Now go to your presentation.
- Click Insert and Movie and then browse your target folder to import the downloaded video.
- Click Movie from File
- Now choose the video which you want to embed into your PowerPoint
Insert Downloaded YouTube Videos in PowerPoint 2003:
This approach is recommended for MS Office 2003 users that would be having a poor or no internet connection at the presentation venue. Please follow below steps to embed video into presentation:
- Download YouTube videos to your computer, using this link.
- Check that the file format of video should be asf, avi, mpeg, or wmv. If video is not in the given format then convert the file format using tools like FormatFactory or use this link to convert it online.
- Now go to your presentation.
- On the Insert menu, point to Movies and Sounds, and then click Movie from File.
- Now click the video you want to use and then click OK.
- After you click OK, you’re prompted with a message asking how you want the movie to start in the slide show.
- I would recommend to choose Automatically even if you want the movie to play when clicked. If you choose When Clicked, you have to click the black box to start the movie.
- Now Right-click the movie object (the small rectangle) and on the shortcut menu, click Edit Movie Object.
- The Movie Options dialog box appears. select what you want, and then click OK. For example: Play the movie full Screen
After the video is recommended, I would suggest you to always test this implementation to see how it works by starting the slide show. (On the Slide Show menu, click View Show.) Advance to the slide with the movie, (best if you have the title of the movie on it). Within a couple of seconds, the movie starts to play full screen. When the movie finishes, you will return to the same slide (but no unsightly box appears). Click to advance to your next slide.
